The EIB, the European Union’s bank, is seeking to recruit for its Legal Directorate (JU), EU Operations Department (OPS-EU), Northern Europe Division (NE) at its headquarters in Luxembourg, a (Senior) Legal Assistant*.

This is a full time position at grade 1/2 for which the EIB offers a permanent contract.

Purpose

The Northern Europe (NE) Division of the Legal Department of the EIB is composed of eleven lawyers and three assistants. It provides legal advice to the EIB in relation to all types of its lending operations (including secured and non-secured transactions, structured finance, and restructurings) and with all types of counterparties (from sovereigns, local municipalities and banks to corporate organisations). Geographically the NE Division covers the EIB lending operations in Austria, Denmark, Estonia, Finland, Germany, Latvia, Lithuania, Sweden, and the EFTA countries.

As a (Senior) Legal Assistant, internally referred as (Senior) Operational Assistant, you will perform a wide range of legal, administrative, and secretarial duties in relation to all stages of the EIB lending operations. You will share responsibilities with the other assistants in the NE Division.

Operating Network

You will report to the Head of Division, and you will co-operate closely with the lawyers in the NE Division. You will also co-operate with colleagues of other EIB Directorates as well as with the EIB’s clients.

Accountabilities

  • Provide legal and administrative support and closely cooperate with lawyers in the Division at all stages of the project cycle, including the preparation of execution versions of legal documents, processing of signatures, follow-up with counterparts and external legal counsels, notifications of signatures and document filing and archiving.
  • Assist with and ensure compliance with procurement procedures for the purchase of legal consultancy services and take care of administrative aspects in relation to external consultants, such as the preparation and follow-up of purchase requests.
  • Prepare draft correspondence on various topics for the NE Division, including notes, reports, presentations.
  • Contribute to processes improvements, digitalisation and records management.
  • Carry out general office-management duties and administrative tasks, including the organisation of meetings.
  • Build and maintain good relationships with internal and external counterparts.

Qualifications

  • Secondary level diploma, completed with a 2-year certification in a relevant field or secondary level diploma with equally qualified experience in a relevant field.
  • At least 3 years of relevant experience (i.e. in similar or related tasks) as legal or administrative assistant. Experience in a law firm, corporate legal function, or any other legal environment, is an advantage.
  • Good knowledge of the standard IT & office tools (particularly Word, Excel, PowerPoint, and Outlook), Acrobat, common office hardware (e.g. printing, scanning, and faxing equipment). Familiarity with Electronic Documents Management tools, electronic archiving, and reporting tools is an advantage.
  • Excellent knowledge of English and/or French (*), with a good command of the other. Knowledge of any another language of the European Union would be an asset. Capacity to communicate and read legal documents in any language from jurisdictions covered by the NE Division, in particular German, would be a distinct advantage.

(*) Unless stated explicitly as a required qualification, a good command of French is not a pre-requisite for hire. As both English and French are however official working languages of the EIB, proficiency in both languages is a pre-requisite for your future career development. Any language clause in your contract must be fulfilled in order for you to be eligible for a promotion (either via the annual appraisal cycle or via an internal selection process). Proficiency is understood to mean the attainment of level 5 of the Inter Institutional language courses, corresponding to B1.2 of the Common European Framework of Reference for Languages (CEFRL). The Bank offers appropriate training support.
