THE ROLE

The HR Team drives Gavi’s people agenda to support the organisation’s strategy and this role plays a key role in creating the conditions that allow for Gavi to build a high performing organisation with a motivated, purpose driven and engaged workforce.

HR Services (HRSC) enables HR operational excellence by delivering efficient and effective programs and support to staff through all stages of their lifecycle from contract offer through to end of contract as a staff member of Gavi. This includes onboarding and offboarding, maintaining required staff files and documentation, and ensuring individual and position data are treated with the utmost integrity, respect and accuracy. The team is also responsible for the management of the compensation and benefits administration, payroll, training administration, HR information systems management, reporting & analytics. Several of these services are critical for the HR balanced scorecard and reporting to both the senior management and the Gavi Board. The HR Services Senior Manager ensures operational effectiveness and efficiency in the HR Services Team enabling the HR function to act as a strategic partner to the business. Our expectation of this role is that we move from operational effectiveness to operational excellence.

 

 

Service Delivery
• Ensure employee lifecycle support services are delivered to Gavi staff in an efficient and customer centric manner, including onboarding and offboarding and compensation and benefits administration;
• Accountable for the Gavi payroll and benefit processes, including the management of relationships with vendors to assess and review the level of service quality provided and address any issues raised;
• Manage the day-to-day relationship with third-party compensation, benefits and services providers, including regular review meetings and escalates performance or contract issues in a timely manner to ensure that the overall service portfolio is not interrupted;
• Manage the HR budget under the guidance of Head, Recruitment, HR Services and Project Delivery.

People management skills
• Effectively lead the team, provide overall prioritisation of work assignments and management of HR Services team resources and their activities;
• Develop the HRSC team’s skills and competencies, provide regular feedback and guide them in their professional paths.

Project management
• Successfully complete projects in area of responsibility, including enhancement of HR systems, introduction of new HR reporting capabilities and streamlining of HR processes.

HR policies and processes
• Formalise and maintain documentation on the appropriate communication platforms;
• Regularly review Gavi people policies and processes, drawing lessons learnt internally and best practices externally, proposing changes and leading on implementation of agreed changes, including stakeholder engagement and senior leadership approval.

HR systems, analytics and data integrity
• Responsible for HR monitoring and evaluation framework compilation;
• Define and improve processes and procedures to ensure HR data integrity and accuracy, including strengthening key HR system capabilities (learning administration, recognition, performance management etc.);
• leveraging HRIS solutions and enhancements to solve business needs/problems, while also enhancing the understanding and acceptance of the HRIS capabilities;
• Build, enhance and quality check key HR reports and dashboards and share them with the appropriate internal stakeholders;
• Create a customer, client feedback process that allows for timely feedback to enable a continuous improvement process.

• Minimum of 8 year’s professional HR experience;
• Experience in people management, building and/or managing a high performing team;
• Payroll and benefits processing experience is essential;
• Experience in the development /design of HR strategic initiatives, managing projects and implementing HR initiatives;
• Experience in the analysis and development of policies and procedures;
• Proven ability to successfully engage with stakeholders;
• Experience working with HR Information Systems and analytics;
• Knowledge of managing budget.

 

 

• Excellent relationship management skills with a proven ability to work with a range of stakeholders and collaborators of different levels;
• Ability to prioritise tasks and to delegate them when appropriate;
• Excellent interpersonal skills to work and communicate effectively in a multicultural environment and across a range of cultural environments;
• Ability to engage and motivate others;
• Excellent analytical and problem-solving skills combined with a flexible and pragmatic approach; ability to produce value adding HR analytics to support business decision-making;
• Be a self-starter, with the ability to prioritise, multitask and take initiative;
• Mindset of continuous improvement;
• Excellent team player but also able to work independently;
• Excellent communication skills, both oral and written;
• Conversant with technology: excellent Word, Excel, PowerPoint, Outlook and other Microsoft Office programme skills; as well as data visualisation tools such as Power BI;
• Attention to details;
• Excellent time management skills with a proven ability to meet deadlines;
• Ability to function well in a high-paced and at times stressful environment;
• People and customer focused whilst balancing the needs, principles and risk associated with the role.

 

 

• Fluent English is required;
• French is an asset.

 

 

• University degree in Human Resources Management or related field.
