Job Title: Senior Operation Officer.

Reports to: Finance and Operations Director

Location: Remote; US, Haiti, Ecuador, Mexico, Guatemala, Honduras.

Function:

 

This position provides key coordination in the daily operations of the Americas Programs – Operations Division and direct assistance to the entire AMERICAS Regional Team in all aspects, including operations management and execution of financial, administrative and human resources functions at headquarters as well as liaises with various other departments at Headquarters on areas of work including, but not limited to, daily operations, communication, procurement, policies and procedures, logistic support with regional Americas Regional team meetings and legal issues. Additionally, this position will be responsible for coordinating all Programs’special projects initiatives.

 

The final candidate for this position will be working for the Americas Region remotely from any of the following countries: Guatemala, Honduras, Mexico, Ecuador, Haiti, and the United States. This position will work closely with several countries whose main language is Spanish, however, full professional proficiency in English is required, and applications must be submitted in English.

 

Responsibilities:

 

  1. Make and collaborate in administrative decisions for all the Program – Operations needs which include but are not limited to people department activity, budget coordination, logistical needs, procurement, and important deadlines for projects within Heifer.
  2. Develop periodic reports in coordination with the Americas Regional team.
  3. Serve as liaison for Americas Regional team for internal departments and external stakeholders.
  4. Coordinate and take decisions of the operations divisional meetings including, but not limited to, agenda preparation, catering, technology, resource personnel attendance, budget assigned, and all other aspects of meeting support. Record, transcribe, and disseminate minutes as appropriate.
  5. Maintain an accurate and current calendar for the Americas Regional Team including online scheduling of internal and external, domestic, and international appointments and meetings. Support meetings as required.
  6. Coordinate and assist of internal and external meetings and retreats, including room setup and décor, catering, and other necessary arrangements
  7. Coordinate and assist during Board meetings and respond to needs and assist individual board members as necessary.
  8. Within the established guidelines, coordinate the budgeting process and monitor the Programs Division’s annual operating expense budget for Americas Cost Centers: CC223, CC210.
  9. Ensure the timely payment of relevant invoices, credit card statements and/or other accounts
  10. Manage the strategies portfolio and ensure that existing and new strategies for each fiscal year are communicated consistently and accurately across a broad group of stakeholders
  11. Respond to written, oral and electronic inquiries to include screening and prioritizing correspondence, reports, presentations, and other information for internal and external usage for the Senior VP
  12. Serve as a resource to other divisions by coordinating communications and requests between Americas Regional Team and other divisions within the organization.
  13. Evaluate office production; develop and revise new or existing processes or procedures to improve workflow efficiencies

Minimum Requirements:

  1. Minimum bachelor’s degree in finance, business administration, international development, or related field with a minimum of 3 years of progressively responsible experience in operational and financial management OR a combination of education and experience can be considered.
  2. Demonstrated ability to work with diverse teams and deliver in a fast-paced environment.
  3. Demonstrated ability to communicate clearly, concisely, and persuasively both orally and in writing, and deliver presentations, training, and facilitate meetings effectively.
  4. Excellent computer skills (MS Word, Excel, Power Point, and Outlook) are required to effectively implement, analyze, monitor, and manage activity goals, inputs, outcomes, and achievements.
  5. Strong analytical skills and demonstrated ability to solve complex problems. Basic understanding of financial analytics and software management.
  6. Demonstrated versatility, integrity and confidentiality.
  7. Bilingual Spanish/ English

 

Preferred Requirements:

  1. Among relevant experiences include at least two (2) years’ office administrative experience.
  2. Knowledge / work experience in NGO sector is a plus.
  3. Self-starter with sounds technical skills, good judgment, and a strong operational focus
