The Risk & Finance Vice Presidency Unit (VPU) manages both financial and non-financial risks. It ensures that IFC is sufficiently capitalized and financially sustainable to grow its operations through prudent risk management at the corporate, portfolio, project, and client levels. It strives to set risk management and environmental, social and governance (ESG) standards that support sustainable private sector development in emerging markets. The VPU provides “transactional” risk management expertise that protects IFC’s financial sustainability and reputational interest as well as broader “corporate” financial risks expertise through IFC’s capital adequacy and its financial accounting and controls functions.
The Risk & Finance Vice President is seeking to recruit an Executive Assistant (EA), based in Washington DC. This position will report directly to the Senior Advisor, except when backing up the Senior EA in which instance the position will report to the Vice President.
Duties and accountabilities:
• Supporting the Senior Advisers including handling meetings, travel arrangements, special projects, and high-quality administrative and logistical support.
• Independently preparing and coordinating periodic meetings, e.g., weekly T3PC preparation meetings, VPU leadership team meetings.
• Leading special projects, e.g., VPU website, event planning.
• Planning and executing retreats and other special initiatives and events, e.g., including the leadership team’s retreat, Vice President Unit Retreat, and periodic Townhalls.
• Leading or supporting cross-departmental efforts within the Vice President Unit that may be spearheaded by the front office or the Corporation.
• Undertaking procurement responsibilities as a transaction processor or Task Team Leader.
• Establishing and maintaining an effective network of contacts, both inside and outside the unit, to ensure effective cooperation in support of office needs.
• Responding to internal and external requests for information as directed by other the VP or other front office staff.
• Backing-up to the Senior EA when the latter is away or assisting with any of her duties, as needed depending on the workload of the front office.
• Handling other ad-hoc tasks assigned by the VP or the Senior EA.
Selection Criteria
• A minimum of a high school diploma with 5 years of relevant experience or a bachelor’s degree with 2 years of relevant experience as an Executive Assistant.
• Proficiency in relevant computer software systems (e.g., MS Office Tools, Webex, Teams, LARS, Travel, etc.) and willingness to learn new programs and applications.
• Excellent knowledge and usage of information technology tools to enhance the efficiency of the front office and contribute to the VPU.
• High level of discretion in dealing with sensitive or highly confidential matters.
• Experience working under pressure with a demonstrated capacity to multi-task, handle concurrent activities, and establish priorities.
• Demonstrated excellent administrative, analytical, and organizational skills, with attention to detail, the ability to prioritize, and work with minimum supervision. Successful previous experience in an Executive Assistant role is an advantage.
• Sound judgment, proactive attitude, resourcefulness, reliability, and a high degree of adaptability.
• Excellent interpersonal and teamwork skills – ability to effectively deal with staff at all levels.
• Excellent communication skills in English (both oral and written), with the ability to draft, proofread, and edit a variety of materials.
• Experience with IFC and/or WB front offices is a plus.
