The Team

Our Global Health division harnesses advances in science and technology to save lives in poor countries. We focus on the health problems that have a major impact in developing countries but get too little attention and funding. Where tools exist, we support sustainable ways to improve their delivery. Where they don’t, we invest in research and development of new interventions, such as vaccines, drugs, and diagnostics. Our work in infectious diseases focuses on strategies to fight and prevent HIV/AIDS, malaria, tuberculosis, neglected tropical diseases, enteric and diarrheal diseases, pneumonia, and maternal, newborn and child health. These strategies are supported by functional & cross cutting teams that focus on Discovery and Translational Sciences, Vaccine Development, and Integrated Development. The Vaccine Development (VDev) team’s vision is to ensure a secure and sustainable supply of consistently high quality, appropriately priced vaccines that are efficiently delivered to meet the needs of global health populations – whether through our direct product development efforts, functional support to program strategy teams, investments in technology development or technical advocacy in the vaccine development ecosystem.

Your Role

The Vaccine Development team has a 24-month Senior Program Coordinator opening. This position is responsible for coordination, implementation and maintenance of a range of projects and activities in support of the life cycle of grants and contracts. Will manage a portfolio of investments including grants, contracts, and other projects in support of programmatic strategic goals. Monitors portfolio, drives payout progress, flags risks and connects the dots to facilitate financial and programmatic decision making across initiative portfolios. Provides thought partnership to investment owners regarding the structure and activation of complex investments with a focus on bringing together the necessary stakeholders and steering towards solutions. Acts as primary support for grantee/vendor initiation to foundation policies, reporting requirements and processes. Serves as liaison across multiple internal teams and between program staff and business partners. Assists Program Managers and FP&A with overall implementation of team rhythm of the business, budget planning, and data analysis and reporting. Plays a pivotal role in contributing to strategic stewardship, change management, and a solutions-oriented culture on the team.

 

*This position is a limited-term position for 24 months based in our Seattle, WA headquarters. Relocation will not be provided.

What You’ll Do

  • Data Input, Management & Analysis: Manage data for all grants and contracts in INVEST and across multiple reporting databases. Provide detailed financial analysis and ensure data integrity to support team’s financial decision making. Work with business team and program staff to keep all pertinent information accurate and up-to-date for reporting and analysis. Serve as point-person for Program Officers regarding budget targets and individual investment portfolio management.
  • Grants and Contracts Administration: Work with Program Officers, Grantees, and Business Partners during the all stages of grant making (e.g. sending out requests for proposals, driving key deadlines for submissions and revisions). Assist with grant management and evaluation by requesting and managing review of progress reports and deliverables.
  • Grant and Contracts Coordination: Coordinate contracts, including tracking of invoicing and deliverables, receipt of required reports and monitoring expenditures. Shepherd the development, management, and close out of grants. Coordinate the end-to-end contract and grant processes with internal parties (contracts, grants & legal business partners) and external parties (vendors & grantees) within the investment systems. Coordinate global access agreements, in close partnership with our legal business partners.
  • This role is responsible for high quality interactions and clear and consistent communications with grantees and partners in the field.Most grants and contracts are unique and complex in nature. A Senior Program Coordinator needs to identify the best way to make the investment happen in a way that furthers our strategies & partnerships. Solving problems often require creative thinking, negotiation skills and the ability to navigate internal foundation procedures

 

Your Experience

  • Excellent organization skills and attention to detail, deadlines and policy compliance.
  • Excellent oral and written communication skills.
  • Proficient in MS Office Suite and SharePoint; advanced knowledge of Excel.
  • Experience with Salesforce or other grant management systems is preferred.
  • Knowledge of budgeting, financial analysis and synthesis.
  • Ability to analyze data across multiple tools and databases.
  • Ability to work independently and as part of an integrated, diverse team and be comfortable in multiple, high varied settings, and tight deadlines with different work and learning styles.
  • Ability to manage multiple and competing demands and establish priorities.
  • Work on assignments that are complex in nature where sound judgment and taking initiative are required to resolve problems and make recommendations, including when to escalate. Independently determine methods and procedures for executing new assignments and provide guidance to other staff. Triage, manage and prioritize tasks related to competing requests for support.
  • Act as liaison and partner with internal business partners (Grants Management, Contracts Management, Legal and Financial Planning & Analysis). The Senior Program Coordinator has a high level of interaction with both internal and external partners, including acting as point of contact with multiple stakeholders throughout the life cycle of a grant. Provide hands on guidance and support for grantees and vendors with budget templates, required documents, technical assistance, and proposal development processes.
  • Problems can be complex and require resourcefulness, adaptability and careful review of options.
  • Bachelor’s degree with 3-5 years of experience.

The salary range for this role is $45.58 – $68.37. As a mission-driven organization, we strive to balance competitive pay with our mission. New hires salaries are typically between the range minimum and the salary range midpoint. Actual placement in the range will depend on a candidate’s job-related skills, experience, and expertise, as evaluated during the interview process.
