Under the overall supervision of the Supply Chain Officer and direct supervision of the Warehouse Officer, the incumbent will be responsible for organizing warehouse and logistics activities including: warehousing inventory management and provide logistics support to the mission.
1. Monitor that all warehousing transactions are done in line to IOM internal guidelines and in close coordination with Warehouse Officer.
2. Coordinate with Warehouse Officer for receiving, storing, packing, kitting, labelling and dispatch of goods from/to the warehouse.
3. Coordinate with Warehouse Assistants to make sure all movement of goods are timely recorded.
4. Coordinate with labour and follow-up that daily timesheets are updated.
5. In coordination with the Warehouse Officer, plan and organize efficient and safe storing of goods at the warehouse, according to available space and requirements.
6. Monitor that all goods are properly stored and timely registered into the warehouse inventory data base.
7. Keep track of all financial aspects related to warehouse and is accountable for all stored goods.
8. Maintain records of all transactions; keep an efficient filing system for stock records of all documents.
9. Prepare daily and weekly progress report for warehousing activities.
10. Coordinate and verify that Stock Receiving Reports are raised immediately & that stock cards / bin cards are updated immediately.
11. Verify that all warehouse dispatches are supported by a fully approved Stock Withdrawal Forms, IOM Waybills and copies are kept on file.
12. Monitor that all returned items are checked, received and recorded in a timely manner.
13. Oversee and assist in the Mid-Year and Annual Physical Stock Counts
14. At the request of the Line Manager or Head of Office, participate in staff development and training processes.
15. Act with integrity and professionalism and in accordance with IOM’s Code of Conduct, at all times.
16. Perform such other related duties as may be assigned.
EDUCATION
• University or Bachelor’s degree in Business Administration, Logistics, Management four years of relevant professional experience, or
• High School diploma with six years of relevant professional experience.
Accredited Universities are those listed in the UNESCO World Higher Education Database.
EXPERIENCE
• Preferably have experience in logistics at IOM and/or another UN Agency and in particular warehousing and stock inventory management.
SKILLS
• Effectively applies specialized knowledge of logistics, asset and stock inventory management.
• Effectively works with vendors and service providers in compliance with IOM procedures to secure cost-effective quality solutions for IOM.
• Proficient in SAP, Oracle, and computer applications.
• Extensive knowledge of IOM/UN internal procurement and financial rules, as well as IOM’s system and processes as they apply to procurement and logistics; and,
• Excellent level of computer literacy and good knowledge of SAP and/or Oracle is an advantage.
Languages
IOM’s official languages are English, French, and Spanish.
REQUIRED
For this position, fluency in English is required (oral and written).
DESIRABLE
Working knowledge of Arabic.
