CIMMYT seeks an outstanding, Administrative Assistant to assist the CIMMYT-Senegal Office Coordinator on essential administrative and financial support to staff to ensure the efficient operation of CIMMYT-Senegal office.

This position will be based in Thies, Senegal.

Specific duties:

  • Administrative and finance:
  • Manage office operations such as scheduling appointments, and handling correspondence.
  • Maintain office supplies and equipment, ensuring efficient day-to-day operations.
  • Manage Local and International travels and Logistics
  • Coordinate Customs Clearance
  • Manage the signature of the Stand Material transfer Agreements (SMTAs) between CIMMYT and partners
  • Inventory Management
  • Coordinate Office Supplies Procurement
  • Coordinate/schedule Visits within and out of Senegal
  • Ensure document Filing and Archiving
  • Plan and coordinate events: meetings, workshops, conferences, etc.
  • Records all cash in office, petty cash, and bank transactions on excel format using the correct codes and forward to
  • Finance Officer for review.
  • Performs any additional tasks as assigned by the supervisors.
  • Human Resources:
  • Maintain and organize employee records, including personal details, job titles, and compensation information.
  • Ensure all HR files and records are up-to-date and accurately filed.
  • Prepare and manage HR-related correspondence.
  • Assist in drafting and posting job advertisements on various platforms
  • Review resumes, screen applications, and schedule interviews.
  • Coordinate the onboarding process for new hires, including preparing orientation materials, arranging workspace, and
  • facilitating initial training.
  • Help with casual labor payroll processing and ensure accuracy in timesheets and salary calculations.
  • Assist in maintaining workplace safety standards and compliance with health regulations.
  • Other administrative responsibilities:
  • Assisting in the planning and forecasting of inventory needs.
  • Support the fleet Management.
  • Any other activity as required by the supervisor.

Requirements

  • Bachelor in Administration, Finance, HR or operations or equivalent degree.
  • Minimum 1 year of experience in working in a multifunctional domain.
  • Experience working with donors and knowledge of donor requirements of funded projects.
  • Experience working in international environments.
  • Good knowledge and hands on experience of MS Office especially MS Word and MS Excel
  • Good Analytical and report writing skills.
  • High level of confidentiality and integrity.
  • Excellent verbal and written French communication skills with good knowledge in English.
  • Flexibility in taking up tasks outside of regular job responsibilities as required.
  • Ability to organize effectively, work under pressure with attention to detail, precision and accuracy.
