This position is in the United Nations Mission in South Sudan (UNMISS), Juba. The Supply Assistant will report to the Chief Property Disposal Unit or his/her designated official.

Responsibilities

Responsibilities:

Within the delegated authority of the Chief Property Disposal Unit, the Supply Assistant will be responsible for the following duties:

• Assists in verifying the requisitions in accordance with sections’/units’ monthly requirements.
• Assists in monitoring stock of supplies in the stores; assists in conducting regular stock taking of expendable items in the supply stores.
• Enters applicable systems data to initiate requisition process. Provides updates of requisition status as required.
• Assists Receiving and Inspection Unit (R&I) in receiving and inspecting goods delivered by vendors and managed by Supply Unit. Prepares internal R&I reports for goods in the Supply Stores.
• Assists in conducting periodic inventory of UN Non-Expendable property and attractive Property managed by Supply stores.
• Assist in monitoring the execution of the contracts for the disposal of property and supplies, including all types of waste material.
• Assist the supervisor in coordinating with Technical Units in preparation of equipment write-offs and processing of write-off cases through relevant property survey boards.
• Process Goods Receipts reports in UMOJA and R&I Reports in the electronic inventory management system for property control and accountability in conformance with administrative instructions, guidelines, manuals, and SOPs
• Responds to internal inquiries from Staff or refers them to appropriate contacts/units.
• Retrieves information and background research from various sources (e.g. Intra-/Internet, office files, central documentation services, etc.).
• Generates relevant status reports and other reports as required.
• Maintains and monitors relevant databases (e.g. stock levels of various supply items). Refers any irregularities to the supervisor.
• Organizes, and maintains contract files and Section’s manuals.
• Performs other duties as assigned by the supervisor.

Education

Education:
High School Diploma or equivalent is required.

Work Experience

A minimum of two (02) years of progressively responsible experience in the field of inventory control, property disposal, property management, logistics, procurement, or other related fields is required.

Proven computer skills and training in software applications such as Outlook, Word and Excel are desirable.

Knowledge of Umoja/SAP database is desirable.

A valid driving license for light/heavy vehicles and operating a Forklift is required. (Please attach a copy of your National Driving License with your application)

English is the working language of the United Nations Secretariat. For the position advertised fluency in oral and written English is required.
