ROLE PURPOSE

The position holder will be responsible to support the program activities at the Country Office by organizing adequate acquisition of goods and services provided.

Accountabilities and MAIN WORK ACTIVITIES

Training on Supply Chain Systems and being the change request agent for SAP/ERP/FMS etc (15%)

  • Provide technical support to staff in resolve SAP/ERP/FMS bottlenecks in liaison with GH/RH
  • Collaborate with Field support supply chain manager to get up-to-date on changes and requirements in the SAP/ERP/FMS System
  • Collaborate with Field support supply chain manager within PIE in providing induction and capacity building trading and refresher training to new jointers and existing staff

Ensure Supply Chain data is clean, collated and analysed. Will support you in reporting (35%)

  • Review the quality of the data, identify any inconsistency and report the supply chain team members and line manager for corrective and follow-up actions
  • Responsible for ensuring all data protection and information sharing protocols are observed while managing information
  • Analyse and respond to report requests from staff, partners, donors and Headquarters.
  • Facilitate and /or undertake additional data collection activities including planning and coordinating data collection methodologies and analysis with relevant staff of other offices
  • Provide training, as necessary, to other staff members and partners in relevant aspects of data management
  • Generate different monitoring format from the data system.
  • Ensures that activities are carried out and documentation completed according to the relevant data laws, policies, processes and standards.

Ensure all Supply Chain data is reposted in a common shared drive and accessible (20%)

  • Accurately and safely collects, enters and maintains data in line with Environment Agency procedures and stores data, or material, for subsequent analysis safely on SharePoint.
  • Continuously monitor Supply chain SharePoint group members and adjust as necessary.
  • Develop a product catalogue and share amongst PIE (SharePoint).
  • Develop a shared Supply Chain Folder structure across PIE (SharePoint).
  • Procedure development on SharePoint utilisation

Reporting, Monitoring and Tracking (15%)

• Accurately and safely collects, enters and maintains data in line with Environment Agency procedures and stores data, or material, for subsequent analysis safely.
• Anticipates requirements for data or information and/or identifies future reporting requirements and puts in place the means to meet these.
• Examines and tests out sources and validity of data/information before using; makes clear the status or reliability of material used. Undertakes more data gathering where necessary.
• Produces factually accurate reports, both verbal and written using data and statistics supported by tools, databases and specialised software.
• Prepares and presents findings in a logical and well-structured manner that can be readily accessed and understood by a wide audience.
• Is fully aware of all documentation applicable to roles & responsibilities. Knows how to find out if unsure.

Procurement (15%)

  • Undertake successfully all procurement processing and follow up of goods and services requested for emergency and development response operation or other requests as assigned by the supervisor
  • Perform effectively transparent transactions, purchasing, and delivery of goods and services within prior agreed lead times and ensures that all purchases are properly documented.
  • Perform timely collection of quotations as per the procurement threshold/guideline and approved purchase requisition for goods and services and performing purchase transactions
  • Conduct appropriate market assessments upon the direction provided by the Procurement Manager
  • Collect adequate information about suppliers and market conditions and reporting supplier details, product lists, and price lists to the Procurement Manager
  • Effectively support and give sufficient orientation to requesting units or programs on creating and approving purchase requisition from the system.

Safeguarding Children and Young People (Safeguarding) and Gender Equality and Inclusion (GEI)

  • Understand and put into practice the responsibilities under Safeguarding and GEI policies and Plan International’s Code of Conduct (CoC).
  • Ensure that Plan International’s global policies for Safeguarding Children and Young People and Gender Equality and Inclusion are fully embedded in day to day work.
  • Ensure that Plan Ethiopia contributes to Plan International’s global efforts to ensure safeguarding and GEI, including making sure that relevant reporting and data are submitted.
  • Technical expertise, skills and knowledge
  • QUALIFICATIONS AND EXPERIENCE REQUIREMENTS
  • Qualifications/Experience Essential:
  • BA Degree in logistics Management, Purchasing/Supplies Management, supply chain management or related field.
  • 3-5 years of relevant work experience in INGO environment, involving in the procurement of both emergency and development programs out of which 1 year at supervisory level
  • Advanced excel knowledge and different accounting software’s.
  • Experience of International NGO or demonstrated equivalent combination
  • Excellent organizational skills
  • Attention to detail
  • Good interpersonal skill
  • In-depth knowledge of project processes, procedures, and system
  • Qualifications/Experience Desirable:
  • Experience in UN Or NGO environment involving in the procurement activities
  • Experience in emergency procurement is advantageous
  • Supervisory experience
  • ERP experience
  • Pharmacy background
  • Languages Required
  • Fluency in English language is essential
  • Knowledge of local languages is a desirable
