- Perform standard office activities such as switchboard, general mailbox, incoming and outgoing mail, courier services, handling deliveries, scanning, printing, and filing documents.
- Welcome visitors and assist with arrangements, provide general support to the latter.
- Assist with logistical arrangements for meetings held in Montpellier; ensure that the meeting room is in order and provide stationery & other items as required; organize coffee/lunch breaks.
- Ensure that the office is kept clean and alert Operations Assistant to any issues.
- Ensure that the office car is available for collaborators in good working order (fueling, servicing, cleaning services etc.)
- Maintain office supplies and handle purchases with local vendors for office needs.
- Prepare purchase requisitions for the office services/utilities and ensure follow up.
- Assist Travel Coordinator: printing travel claims, checking that all supporting documentation is present. Input itineraries in travel tracker tool.
- Assist Administrative & Finance Associate: printing invoices, filing claims, scanning documents for audit and other purposes.
- Secondary school education supplemented by office training or related courses.
- Previous relevant work experience, preferably in an international organization.
- Good knowledge of relevant software packages (Microsoft Word, Excel, PowerPoint).
- Good command of the French language, both written and spoken.
- Working knowledge of the English language is a plus.
- Flexibility and adaptability to work under tight deadlines.
- Sound communication and interpersonal skills, including the ability to work effectively with other national and cultural backgrounds.
- Sound personal organization and priority setting skills.
