Position Title: Temporary Supporter Services/Gift Processing Assistant

Reports to: Manager of Community Giving

Location: Employees in this role can work from our Boston, MA office, remotely within the U.S. or a hybrid of these two options.

Employment Type: Temporary Full Time; October 2024-February 2025

 

Position Overview:

 

The Temporary Supporter Services/Gift Processing Assistant supports the Annual Giving and Gift Administration teams as they process an increased volume of donor support requests and gifts during the busy fundraising season. The Temporary Supporter Services/Gift Processing Assistant will be tasked with responding to incoming donor inquiries to ensure timely resolution of service requests. Additionally, the Assistant will be assigned with gift entry and donor data upkeep in Partners In Health’s (PIH) central fundraising database, Salesforce. Prior experience in data entry is strongly preferred.

 

Working hours expectation is five days per week, 9am-5pm EST from October 2024 – February 2025, with extension possible based on organizational need.

 

Responsibilities:

Supporter Services (80%)

  • Respond tactfully, accurately, and in a timely manner to assigned incoming supporter inquiries and requests received through the donor support phone line and PIH’s public email address (using Zendesk).
  • Record appropriate notes, coding, or follow-up in Salesforce database.
  • Update recurring donor accounts as requested
  • Fulfill “do not mail” requests
  • Send printed or electronic acknowledgements and cumulative tax receipts as requested
  • Support donor stewardship projects like thank you note writing
  • Provides general administrative support to the Annual Giving team as needed

 

Gift processing (20%)

  • Enter and process accurate data from various data sources through electronic imports into PIH fundraising database, Salesforce.
  • Ensure that all assigned gifts are accurately recorded in a timely manner with strong attention to detail.
  • Review gift images to ensure gifts are booked with accurate coding and add high dollar donation images to the donor’s central record.
  • Perform other administrative duties as required.

 

 

Qualifications:

 

  • 1-2 years of prior administrative experience; data entry experience preferred (Salesforce).
  • Proficient in Microsoft Office applications
  • Strong organizational skills
  • Able to handle all data confidentially with a high-level of accuracy and close attention to detail.
  • Excellent problem-solving skills.
  • Willingness to ask questions, learn and collaborate with team members.
  • Must be available to work during standard business hours, Monday through Friday from 9am-5pm
  • Must be available to work between Dec 26-31, 2024.
  • Exemplary interpersonal skills; ability to collaborate effectively with culturally diverse staff across departments and country.
  • Interest in social justice strongly desirable.

Pay and Benefits

 

The pay for this position at commencement of employment is $22.00/hour. Subject to the terms and conditions of the applicable plans then in effect, eligible employees may enroll in a 401(k) plan with employer match, as well as participate in organization-sponsored medical, dental, vision, short-term and long-term disability insurance, and basic life insurance plans for the employee and the employee’s eligible dependents. Regular Full time employees will receive 15 days of vacation, 12 sick days, 3 personal days, and 3 volunteer days in addition to paid time off during the week of July 4th, and 11 additional holidays annually.
